JOB POSITION:

Operations / Payroll Support

DESCRIPTION:

Gaines and Company, a well established construction company is seeking an Operations / Payroll Support in our Spring Hope, NC office.

POSITION SUMMARY:

The Operations / Payroll Support position supports shop operations with purchasing and reporting, and maintains important compliance records related to drivers, equipment, and company vehicles. The position requires strong organizational skills, attention to detail, and the ability to coordinate with multiple departments. The position will also serve as a secondary role in providing coverage for payroll. The position will process payroll once a month.

KEY RESPONSIBILITIES INCLUDE:

OPERATIONS SUPPORT

  • Assist Shop Management with processing work orders.
  • Help coordinate equipment and parts purchasing as needed.
  • Maintain accurate records and reports related to shop operations and equipment activity.

DOT/CDL COMPLIANCE ADMINISTRATION

  • Assist driver documentation and compliance requirements.
  • Monitor and track driver license renewals and expirations.
  • Process documentation for new drivers, including:
    • Safety documentation
    • Physical certifications
    • Other required DOT documentation
  • Maintain communication with management and copy appropriate leadership on compliance-related correspondence.

DVIR (DRIVER VEHICLE INSPECTION REPORT) ADMINISTRATION

  • File and maintain DVIR
  • Document vehicle issues within the Repair Report tracking system.
  • Maintain a minimum three-month backlog of records for documentation and compliance purposes.

AGGREGATE/QUARRY LOGGING

  • Receive aggregate tickets.
  • Log materials into the corresponding job reports.
  • Maintain organized documentation of material usage.

VEHICLE REGISTRATION & TITLE ADMINISTRATION

  • Maintain accurate and updated vehicle registration and title records for company vehicles.
  • Assist with registration renewals and documentation management.
  • Support management in coordinating title documentation and updates.

PAYROLL SUPPORT

  • Process payroll independently once per month and as needed.
  • Ensure payroll records are accurate and properly maintained.
  • Support payroll coordination with the accounting and administrative teams.

QUALIFICATIONS:

  • Strong organizational and administrative skills.
  • Experience in supporting payroll processing or administrative operations preferred.
  • Ability to maintain accurate records and documentation.
  • Familiarity with DOT or driver compliance documentation preferred but not required.
  • Strong attention to detail and ability to manage multiple responsibilities.
  • Effective communication skills and ability to coordinate with shop personnel and leadership.
